List the work your team needs to do
Before comparing pricing pages, write down the workflows your team needs to complete and who will use them. Separate requirements from features that might be useful later. Pay particular attention to permissions, integrations, and data export, because those details often determine whether a plan will fit day-to-day work.
Evaluate the full cost
Check how billing changes as you add users, usage, or workspaces. Include implementation time and ongoing administration in the comparison. A cheaper subscription is not necessarily a better fit if it requires manual work every week or excludes a control your team needs.
Use a trial to complete a real task with a small group rather than exploring every menu. Document the gaps, confirm uncertain limits with the provider, and choose a review date after rollout. This gives your team a practical basis for upgrading or changing course later.
